Position Overview
Long Story Short Media is an award-winning creative production company, with global expertise in short film, live entertainment, digital media, and strategic communications. We are seeking a full-time Executive Coordinator to the CEO to join the team in the Washington DC office. The person in this role will provide essential administrative and operational support to the CEO, helping drive the success of both day-to-day operations and long-term strategic goals.
The ability to interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism is crucial. The ideal candidate understands the critical role they play and is driven to build and be a part of something they care about.
Responsibilities
Anticipate and proactively address the needs of the CEO, building strong working relationships based on trust and understanding.
Own, efficiently manage, and prioritize a high-volume, complex calendar, scheduling, and rescheduling meetings while considering dependencies, potential conflicts, and competing priorities.
Provide dedicated, comprehensive administrative support to the CEO including domestic and international travel arrangements, timely and accurate expense reporting, and internal and external meeting preparation.
Assist with creating and preparing meeting and presentation materials – slides, proposals, and decks using a variety of software platforms.
Facilitate efficient communication and collaboration between executives, clients, and internal teams.
Contribute to a collaborative and inclusive team culture, leveraging emotional intelligence to build strong relationships.
Thrive in a fast-paced environment, managing multiple priorities and meeting tight deadlines with resilience and adaptability.
Organize information and track details for the CEO, and assist in prioritizing simultaneous needs.
Assisting with research and special projects as needed.
Plan and manage company events and support company culture.
Qualifications
A minimum of 3 years of experience in an executive assistant or high-demand administrative role, ideally in a fast-paced or creative industry (e.g., production, events, entertainment, or media).
Previous experience supporting C-suite executives and working across multiple teams is preferred.
Proven experience supporting senior executives
Exceptional organizational and time management skills
Strong attention to detail and problem-solving abilities
Proven ability to prioritize tasks and manage multiple projects simultaneously
Excellent written and verbal communication skills
Advanced proficiency in Google Workspace, Microsoft Office Suite, and Canva
Adobe Suite experience preferred
Ability to maintain confidentiality and discretion
Demonstrated ability to work effectively under pressure and meet tight deadlines
Flexibility and adaptability to changing priorities
A bachelor’s degree is strongly preferred

Working Conditions
This is an in-office position. After-hours work as well as travel will be required occasionally.

Salary Range
$65K- $85K (commensurate with professional experience)
